Terms & Conditions

Conditions of Travel: Maya Trails reserves the right to arrange an alternative route due to severe weather conditions or in the event of any protests on the road. No refunds will be given in these circumstances.

Guest Numbers: Quotes for groups are given based on certain amount of passenger numbers. If the quote is confirmed with a different number of passengers, the price will vary.

Travel Insurance: Travel insurance is NOT included in the Maya Trails tours and requires all passengers to plan ahead in this matter. Maya Trails offers a travel assistance program for our travelers in Central America, please ask for more information with your travel expert.

Visas/Special Permits: You are responsible for obtaining any necessary visas and travel permits for all countries that you will be traveling to or transiting through, and for informing yourself as to which countries/areas within countries require visas and/or special permits. Visa and entry requirements may vary depending on your nationality, the length of your stay, and the purpose of your visit, among other factors. Visa information and visas can be obtained by contacting the Consulate or Embassy of the countries involved or you can get your visa application. Please also make certain that your passport is valid for at least six months after the latest expected end date of your planned trip, as some countries will not allow entry if your passport expires sooner. We are not lawyers, and nothing we say should be interpreted as legal advice concerning visas, entry requirements, immigration, or residency.

Health and Safety Matters: You are responsible for determining what, if any, vaccinations or other health or safety precautions are necessary or recommended for your destinations. We are not physicians, and nothing we say should be interpreted as professional medical advice. Government health advisories can be found on the internet at: http://www.cdc.gov and http://www.who.int

Luggage: Luggage must be kept to a maximum of two suitcases and a small carry-on per person. If a luggage does not arrive with the group, Maya Trails can monitor it for you, even though is not responsible for any loss. Maya Trails can pick it up at the airport with a photocopy of the passenger passport, original airline slip, and claim. Maya Trails will send it to your location for an additional fee. Maya Trails is not responsible for any lost or broken items that may have been damaged on the flight. Please be aware of the luggage restrictions on local airlines and water transfers provided by our travel experts.

The following applies to Airfare bookings:

Baggage: Check with your specific airlines. Most domestic US carriers and some international carriers now charge for each piece of checked baggage. For most international flights baggage is limited to a total of 20 kg. (44 lbs.), total of all pieces and items including carryon items. If you plan to check and/or carry on more than 20 kg. of luggage per person on any of your flights, check directly with each airline in advance for their free baggage limits and excess baggage charges.

Reconfirming Flights/Tickets: Maya Trails takes no responsibility for reconfirming your flights or for advising you of airline schedule changes once your tickets have been issued. Standard airline rules in effect in most countries require that international flights must be reconfirmed directly with the airlines concerned at least 72 hours prior to departure of each flight or the airline(s) may cancel your reservations. You should plan on contacting each airline concerned by phone or at a city ticketing office at least three days before your flight to reconfirm and check for any schedule changes. We recommend that you reconfirm each flight, even if the airline says that it is not required.

Airline Default/Involuntary Schedule Changes: We take no responsibility in the event of an airline’s default, cessation of service on a ticketed route or schedule change. Travel insurance that covers airline default is highly recommended.

PAYMENT AND CANCELLATION POLICIES

Prices: Quotes and prices are valid for 30 days from the date they are issued. Rates are quoted in USD$ and include tax (12% VAT). Prices are subject to change without prior notice.

Payment Policy: A 25% advance payment is required at the time of booking to secure services, hotel rooms, and local flights. With the remaining amount no later than 45 days prior arrival. Failure to adhere to the payment policy may result in the cancellation of your booking. A non-refundable credit card surcharge of 5% applies on all PayPal, Visa, MasterCard, American Express and Discover transactions. Money Transfers fees are not included on the bill.

Itinerary Changes: For itineraries, once finalized and booked each change is subject to a $150 change fee, as well as any cost increase. Changes are also subject to availability. Please contact Maya Trails to request any changes to your reservations. For cancellations, please see the section on Cancellations, below.

Cancellation Policy: Due to the extensive organization involved with touring, a strict cancellation fee will be applicable to compensate for costs and lost revenue. Once a booking is confirmed, the amount will vary depending on payments already made to providers. Cancellations made less than 30 days before arrival are subject to a cancellation fee of 100% of the total value of the booking. *If you have been notified beforehand from our travel experts on the booking that the property or service has a strict non-refundable policy.

Credit Card and Bank Fees: Credit Card and Bank Fees are not included in the total amount. For credit card a 5% and for bank Fees a USD$50.00 will be added to the total amount of your final bill.
